    Moving data into and out of an institutional repository: Off the map and into the territory

    Given the recent proliferation of institutional repositories, a key strategic question is how multiple institutions - repositories, archives, universities and others—can best work together to manage and preserve research data. In 2007, Green and Gutmann proposed how partnerships among social science researchers, institutional repositories and domain repositories should best work. This paper uses the Timescapes Archive—a new collection of qualitative longitudinal data— to examine the challenges of working across institutions in order to move data into and out of institutional repositories. The Timescapes Archive both tests and extends their framework by focusing on the specific case of qualitative longitudinal research and by highlighting researchers' roles across all phases of data preservation and sharing. Topics of metadata, ethical data sharing, and preservation are discussed in detail. What emerged from the work to date is the extremely complex nature of the coordination required among the agents; getting the timing right is both critical and difficult. Coordination among three agents is likely to be challenging under any circumstances and becomes more so when the trajectories of different life cycles, for research projects and for data sharing, are considered. Timescapes exposed some structural tensions that, although they can not be removed or eliminated, can be effectively managed

    Transformative Effects of NDIIPP, the Case of the Henry A. Murray Archive

    This article comprises reflections on the changes to the Henry A. Murray Research Archive, catalyzed by involvement with the National Digital Information Infrastructure and Preservation Program (NDIIPP) partnership, and the accompanying introduction of next generation digital library software. Founded in 1976 at Radcliffe, the Henry A. Murray Research Archive is the endowed, permanent repository for quantitative and qualitative research data at the Institute for Quantitative Social Science, in Harvard University. The Murray preserves in perpetuity all types of data of interest to the research community, including numerical, video, audio, interview notes, and other types. The center is unique among data archives in the United States in the extent of its holdings in quantitative, qualitative, and mixed quantitativequalitative research. The Murray took part in an NDIIPP-funded collaboration with four other archival partners, Data-PASS, for the purpose of the identification and acquisition of data at risk, and the joint development of best practices with respect to shared stewardship, preservation, and exchange of these data. During this time, the Dataverse Network (DVN) software was introduced, facilitating the creation of virtual archives. The combination of institutional collaboration and new technology lead the Murray to re-engineer its entire acquisition process; completely rewrite its ingest, dissemination, and other licensing agreements; and adopt a new model for ingest, discovery, access, and presentation of its collections. Through the Data-PASS project, the Murray has acquired a number of important data collections. The resulting changes within the Murray have been dramatic, including increasing its overall rate of acquisitions by fourfold; and disseminating acquisitions far more rapidly. Furthermore, the new licensing and processing procedures allow a previously undreamed of level of interoperability and collaboration with partner archives, facilitating integrated discovery and presentation services, and joint stewardship of collections.published or submitted for publicatio

    An examination of automatic video retrieval technology on access to the contents of an historical video archive

    Purpose – This paper aims to provide an initial understanding of the constraints that historical video collections pose to video retrieval technology and the potential that online access offers to both archive and users. Design/methodology/approach – A small and unique collection of videos on customs and folklore was used as a case study. Multiple methods were employed to investigate the effectiveness of technology and the modality of user access. Automatic keyframe extraction was tested on the visual content while the audio stream was used for automatic classification of speech and music clips. The user access (search vs browse) was assessed in a controlled user evaluation. A focus group and a survey provided insight on the actual use of the analogue archive. The results of these multiple studies were then compared and integrated (triangulation). Findings – The amateur material challenged automatic techniques for video and audio indexing, thus suggesting that the technology must be tested against the material before deciding on a digitisation strategy. Two user interaction modalities, browsing vs searching, were tested in a user evaluation. Results show users preferred searching, but browsing becomes essential when the search engine fails in matching query and indexed words. Browsing was also valued for serendipitous discovery; however the organisation of the archive was judged cryptic and therefore of limited use. This indicates that the categorisation of an online archive should be thought of in terms of users who might not understand the current classification. The focus group and the survey showed clearly the advantage of online access even when the quality of the video surrogate is poor. The evidence gathered suggests that the creation of a digital version of a video archive requires a rethinking of the collection in terms of the new medium: a new archive should be specially designed to exploit the potential that the digital medium offers. Similarly, users' needs have to be considered before designing the digital library interface, as needs are likely to be different from those imagined. Originality/value – This paper is the first attempt to understand the advantages offered and limitations held by video retrieval technology for small video archives like those often found in special collections

    When the Rubber Hits the Road: Real-World Digital Preservation

    Digital preservation remains a challenging and almost abstract idea for those responsible for ensuring the longevity of digital materials. During this lightning round session, seven information professionals will share practical, cost-effective, and realistic approaches to digital preservation. The conversations will be framed by the findings presented in “Trends in Digital Preservation Capacity and Practice,” published in the July/August 2017 issue of D-Lib Magazine, as well as by findings from the Beyond the Repository IMLS grant investigating the integration of local repositories with distributed preservation networks. This session will highlight trends in digital preservation in practice and offer an open conversation about “good enough” preservation steps that can be taken when you are faced with limited resources. Topics include: Alternative preservation measures to combat costs associated with a quickly growing digital storage footprint; Reflections after five years of implementing a tiered approach for preservation of electronic college records; The challenges of creating, promoting, and managing Indiana Digital Preservation (InDiPres), a community-based digital preservation solution; Considerations when preserving audiovisual materials and large file formats; Integrating open source platforms to establish more robust and efficient preservation workflows; and Balancing the ideal vs. the real world when constructing an accessible digital preservation environment. This session is intended for anyone responsible for digital preservation, from those in initial planning, to those doing “boots on the ground” preservation, to special collections administrators.
