    Literature review of research into attitudes towards electronic theses and dissertations (ETDs)

    This document summarises existing research into the attitudes of graduate students and their supervisors towards electronic theses and dissertations (ETDs). Research was identified from Germany, India, Italy, South Africa, the UK and the US. The authors of two published papers from the UK were contacted via email and asked to expand upon their published work. In order to extend the picture of current attitudes of UK research students and supervisors to ETDs, repository managers from UCL Eprints and White Rose Research Online (Based at the universities of Leeds, Sheffield and York) who have relatively advanced collections of ETDs, were asked to provide a list of the concerns that were most often brought to their attention during their advocacy work

    Several Dutch university libraries started full text electronic storing and publishing of scholarly information during the first half of the nineties; they aimed to build up collections of full text digital information and to develop digital user services. Doing so, they wanted to acquire expertise in the areas of producing, converting, indexing and providing electronic documents. The University of Groningen decided to concentrate in the first instance on dissertations (and other university publications), because these documents are quality controlled and free of copyright. At this university each year about 200 dissertations are submitted in all kind of disciplines. From January 1994 Ph D. students were allowed to present an electronic version of their dissertation to the University Library Groningen for interlibrary exchange instead of 50 printed copies. Supporting a multiformat platform, the Groningen University Library allowed authors to decide in what document format they want to present their theses. WORD, WORDPERFECT and LATEX proved to be the most common used word processors. In a leaflet authors were informed which requirements they had to fullfill. The most important requirement is that the document should be completely electronic. To teach scientists, students and researchers how to produce electronic publications, the Computing Centre of the University organised several courses. Besides, the Computing Centre and the University Library were prepared to give those who had problems the necessary instructions and help. At the beginning, each electronic dissertation was stored on a document server in POSTSCRIPT format, together with ASCII versions of the bibliographical data, the summary and the table of contents. Soon afterwards PDF and HTML became de facto standards. For that reason, some years later the title page and the table of contents of the dissertations of the Groningen University are converted to HTML and the fulltext in PDF

    Seton Hall University Library ETD Submission Workflow

    In 2013, Seton Hall University Libraries moved to an online electronic dissertation and theses (ETD) process using the digital commons platform. SHU does not have an office of Graduate Studies thus there were no uniform guidelines or governed process. Moving to an online submission system allowed the University Libraries to accept born-digital copies, make them easily accessible online and integrated with our catalog. The libraries assumed the lead role for establishing guidelines and procedures for dissertations and theses for the entire university. Customized metadata fields were established for the process including administrative hidden fields. Students are instructed to a three step process that includes: paying a submission fee to the library, online ETD submission to digital commons, and delivery to ProQuest. Each submission to digital commons is reviewed by a librarian in the catalog department, before it is sent to ProQuest. Once this process is complete, an Excel file maintained by the library is marked and shared with the registrar’s office. It is the library that clears graduate students for graduation. The ETD submission process has been very successful; allowing for automation and standardized workflows for both students and staff
