Opiskelijatapahtuman projektipäällikkyys: Miten approja järjestetään?

Opinnäytetyön tavoitteena on tutkia sitä, millä tavalla opiskelijatapahtumia järjestetään, sekä millainen on projektipäällikön rooli opiskelijatapahtumassa. Tarkoitus on saada informaatiota suurien appro-tapahtumien taustaorganisaatioista, tapahtumajärjestämisestä, projektipäällikön roolista näissä tapahtumissa sekä heidän kokemuksiaan johtavassa asemassa olemisesta. Opiskelijatapahtumia on monia erilaisia, ja opinnäytetyöhön valitut appro-tapahtumat ovat yksi suosituimmista opiskelijatapahtumien muodoista. Approjen järjestämisestä ei ole saatavilla paljoa kirjallista tietoa, ja tämän työn haastatteluiden myötä ymmärrys niiden järjestämisestä kasvaa. Projektipäälliköt toimivat vastuullisissa rooleissa näissä tapahtumissa, ja opinnäytetyö haluaakin selvittää millä tavalla näissä tapahtumissa projektipäälliköt johtavat, mitä asioita heille on tullut tapahtumaa tehdessään esille ja onko tehtävästä ollut hyötyä heille johtamiskokemuksena. Tietoperustana opinnäytetyössä käytetään niin tapahtumajärjestämisen oppaita, kuin ohjeita hyvänä projektipäällikkönä toimimiseenkin. Kirjoittajalla on myös omakohtaista kokemusta usean vuoden ajalta opiskelijatapahtumista järjestäjän roolissa. Menetelmänä opinnäytetyössä on käytetty teemahaastatteluita. Työ haluttiin rajata suuriin appro-tapahtumiin Helsingin alueella. Tämä helpotti sekä haastattelujen järjestämistä, että heidän kertomiensa asioiden vertailua. Suuren osallistujamääränsä vuoksi tapahtumissa projektijohtaminen korostuu, ja projektipäälliköiden rooli ja vastuu ovat suuremmat. Näin saatiin myös enemmän projektijohtamisessa olevia tärkeitä asioita selville. Haastateltavaksi työssä saatiin kolmen suuren appro-tapahtuman projektipäälliköt vuodelta 2019. Approt ovat opiskelijatapahtumia, jotka toteutetaan projektimuotoisesti ja usein jokavuotisesti. Approissa projektipäällikön vastuu on suuri, ja hänen täytyy toteuttaa lukuisia eri tehtäviä. Projektipäällikköä valvoo ohjausryhmä tai vastaava, ja hänen kanssaan tapahtumaa toteuttaa projektitiimi. Projektipäällikkö toimii johtavassa asemassa, ja appro-tapahtumissa toimiminen antaa hyvää kokemusta johtamisesta sekä tapahtumatuottamisesta. Projektipäällikön on hyvä toimia vain omassa tehtävässään, joka tarkoittaa tapahtuman tehtävien delegointia, fasilitointia sekä viestimistä niin projektin sisäisesti kuin ulkoisesti. Tapahtumat toteutetaan suunnitellen ja saaden tapahtumapäiväksi vaadittavat tehtävät valmiiksi. Tapahtumapäivänä projektipäällikkö toimii kokonaiskuvan haltijana ensisijaisena ongelmatilanteiden ratkojana. Tapahtuman jälkeen käydään sen toteutunut kulku läpi sekä palautteet osallisilta tahoilta. Lisäksi työntekijöitä ja muita sidosryhmiä kiitetään osallistumisesta.The purpose of this thesis was to study how student events are organized and what the role of the project manager is in these events. The plan was to gain information about the organizing organizations of big pub crawl events, event organizing, being a project manager on such events and the experiences of an event organizer. There are many different student events, and the pub crawl events chosen for this thesis are one of the most popular forms of student events. There are no written information about the organizing of such events and with the interviews of this thesis the comprehension of how to organize will increase. Project managers act in a responsible role in these events and this thesis tried to find out how are they leading, what they have experienced and has it been beneficial to them as a leading experience. The theoretical part of this theses was based on guides on how to make events and guides to being a good project manager. The thesis author has also many years of experience from organizing student events. The method used was theme interview. The thesis was limited into observing big pub crawl events in the city of Helsinki. This made obtaining interviewees and comparing their answers easier. Because of the size of the chosen events, their project management is emphasized and the role and responsibilities of the project manager are bigger. The interviewees were project managers of three big pub crawls in 2019. Pub Crawls are student events, that are executed via a project and organized every year. In a pub crawl the responsibility of a project manager is significant and he must perform a lot of different tasks. The project manager is supervised by a steering group, and a project team is helping to execute the project. The project manager works in a leading position and working in a pub crawl provides valuable experience in leading and in event organizing. It’s preferable for the project manager to work only in his/hers role, which includes delegating the tasks of the project, facili-tating and communicating both inside and outside of the project. These events are executed via planning and completing the tasks needed before the event day. In the day of the event the project manager is the person with the big picture and works as the primary problem solver. After the event the project team goes through what happened at the event and what kind of feedback they have received from the participating parties of the event. Tämä selvityksen tarkoitus on määritellä Laurea-ammattikorkeakoulun tahtotila liittyen kansainvälisyyden edistämiseen, kuvata nykytila ja määritellä askeleet, joilla tahtotila saavutetaan. Kansainvälisyys, monikulttuurisuus ja rajojen rikkominen ovat aina olleet osa Laurea-ammattikorkeakoulun periaatteita.
