    Carcanet Press Email Preservation Project

    Collecting institutions are increasingly facing the challenge of preserving `born digital' material when acquiring recent and contemporary archives. Interim solutions like printing important documents and correspondence to paper are clearly not feasible in the long-term. One of the most important modern archives held by the John Rylands Library is that of Carcanet Press, one of the UK's premier poetry publishing houses. Correspondence with famous poets, critics, editors, translators and artists forms one of the most important elements of this archive. Most of this correspondence is now conducted by email, with the result that the quantity of hard copy correspondence acquired in annual accruals to the archive has diminished significantly. It is therefore vital that libraries like the John Rylands Library are able to preserve these emails in digital form, in order to ensure that this invaluable primary research material is not lost to the archival record. This project aimed to tackle the challenge of capturing and preserving the email archive of Carcanet Press. Basing our work on both traditional archival practice and digital preservation standards, we used this email archive as a test-bed for practical digital preservation. We tested and assessed existing tools for metadata extraction, validation, migration, packaging and ingest. We also explored different long-term preservation formats for email to determine the most appropriate solution for our institutional context. Our preservation planning activities draw and build on the work of the InSPECT Project in identifying the `significant properties' of email. We also established documentation and workflows which can be adapted to deal with similar born-digital archives in the future. Due to data protection, sensitivity and copyright issues, our focus for this project was on preservation rather than access. However, we took into account and explored some of the ways in which researchers might access and use such a body of material in the future. This report sets out the project's findings

    Lifecycle information for e-literature: full report from the LIFE project

    This Report is a record of the LIFE Project. The Project has been run for one year and its aim is to deliver crucial information about the cost and management of digital material. This information should then in turn be able to be applied to any institution that has an interest in preserving and providing access to electronic collections. The Project is a joint venture between The British Library and UCL Library Services. The Project is funded by JISC under programme area (i) as listed in paragraph 16 of the JISC 4/04 circular- Institutional Management Support and Collaboration and as such has set requirements and outcomes which must be met and the Project has done its best to do so. Where the Project has been unable to answer specific questions, strong recommendations have been made for future Project work to do so. The outcomes of this Project are expected to be a practical set of guidelines and a framework within which costs can be applied to digital collections in order to answer the following questions: • What is the long term cost of preserving digital material; • Who is going to do it; • What are the long term costs for a library in HE/FE to partner with another institution to carry out long term archiving; • What are the comparative long-term costs of a paper and digital copy of the same publication; • At what point will there be sufficient confidence in the stability and maturity of digital preservation to switch from paper for publications available in parallel formats; • What are the relative risks of digital versus paper archiving. The Project has attempted to answer these questions by using a developing lifecycle methodology and three diverse collections of digital content. The LIFE Project team chose UCL e-journals, BL Web Archiving and the BL VDEP digital collections to provide a strong challenge to the methodology as well as to help reach the key Project aim of attributing long term cost to digital collections. The results from the Case Studies and the Project findings are both surprising and illuminating

    Invest to Save: Report and Recommendations of the NSF-DELOS Working Group on Digital Archiving and Preservation

    Digital archiving and preservation are important areas for research and development, but there is no agreed upon set of priorities or coherent plan for research in this area. Research projects in this area tend to be small and driven by particular institutional problems or concerns. As a consequence, proposed solutions from experimental projects and prototypes tend not to scale to millions of digital objects, nor do the results from disparate projects readily build on each other. It is also unclear whether it is worthwhile to seek general solutions or whether different strategies are needed for different types of digital objects and collections. The lack of coordination in both research and development means that there are some areas where researchers are reinventing the wheel while other areas are neglected. Digital archiving and preservation is an area that will benefit from an exercise in analysis, priority setting, and planning for future research. The WG aims to survey current research activities, identify gaps, and develop a white paper proposing future research directions in the area of digital preservation. Some of the potential areas for research include repository architectures and inter-operability among digital archives; automated tools for capture, ingest, and normalization of digital objects; and harmonization of preservation formats and metadata. There can also be opportunities for development of commercial products in the areas of mass storage systems, repositories and repository management systems, and data management software and tools.

    Economic evaluation of LIFE methodology

    Background: The LIFE project (Lifecycle Information For E-Literature) was carried out during 2004-2006 by a consortium consisting of The British Library and University College London Library Services . The project was joint venture funded by JISC under the programme area Institutional Management Support and Collaboration. The project has received favourable feedback, for instance during a workshop organised at the end of it, and JISC has agreed to fund a second phase during 2007-2008. The consortium has been strengthened by three associate partners (SHERPA-LEAP Consortium, SHERPA-DP and the Medical Research Council). In addition some funds were reserved for the use of an outside economic consultant for an evaluation of the life-cycle models that emerged as the key results from the first phase. The LIFE-2 project consists of five work packages, and this report is part of the first of these. The objective of WP 1 is formulated in the LIFE 2 Project proposal as follows: Validation of the economic modelling and methodology for the Lifecycle and Generic Preservation formulae developed in Phase 1 of the LIFE project, with technical and presentational development of the models. Cloudlake Consulting Oy has been commissioned by the consortium to carry out this validation. The report has been written by Bo-Christer Björk. He is professor of Information Systems Science at the Swedish School of Economics and Business Administration in Helsinki, Finland. He has been conducting research concerning the scientific publishing process since 2000 and has published several peer reviewed journal articles as well as conference papers on the subject. He is often an invited speaker at international workshops in this area

    This essay discusses the importance of the areas of infrastructure and testing to help digital preservation services demonstrate reliability, transparency, and accountability. It encourages practitioners to build a strong culture in which transparency and collaborations between technical frameworks are valued highly. It also argues for devising and applying agreed-upon metrics that will enable the systematic analysis of preservation infrastructure. The essay begins by defining technical infrastructure and testing in the digital preservation context, provides case studies that exemplify both progress and challenges for technical alignment in both areas, and concludes with suggestions for achieving greater degrees of technical alignment going forward

    Towards a framework for predicting whole life-cycle cost for long-term digital preservation

    Estimating the costs for the whole lifecycle of long-term digital preservation (LTDP) activities ena-bles decision makers to choose carefully what data to preserve, duration of preservation and type of preservation techniques best applied for their information. To address this need, a framework is de-veloped to generate a cost model that will estimate costs for long-term digital preservation activities using storage in the cloud and taking into consideration the impact of mitigating uncertainties, espe-cially obsolescence issues on future costs. This cost estimating framework is part of the European pro-ject entitled ‘Enabling kNowledge Sustainability Usability and Recovery for Economic value’ which aims to provide a total long-term digital preservation solution for companies and public sector organi-sations interested in keeping their digital information alive for the long-term within the healthcare, fi-nancial and the clinical trials business sectors

    Beyond OAIS : towards a reliable and consistent digital preservation implementation framework

    Current work in digital preservation (DP) is dominated by the "Open Archival Information System" (OAIS) reference framework specified by the international standard ISO 14721:2003. This is a useful aid to understanding the concepts, main functional components and the basic data flows within a DP system, but does not give specific guidance on implementation-level issues. In this paper we suggest that there is a need for a reference architecture which goes beyond OAIS to address such implementationlevel issues - to specify minimum requirements in respect of the policies, processes, and metadata required to measure and validate repository trustworthiness in respect of the authenticity, integrity, renderability, meaning, and retrievability of the digital materials preserved. The suggestion is not that a particular way of implementing OAIS be specified, but, rather that general guidelines on implementation are required if the term 'OAIS-compliant' is to be meaningful in the sense of giving an assurance of attaining and maintaining an operationally adequate or better level of long-term reliability, consistency, and crosscompatibility in implemented DP systems that is measurable, verifiable, manageable, and (as far as possible) futureproofed

    Curating E-Mails; A life-cycle approach to the management and preservation of e-mail messages

    E-mail forms the backbone of communications in many modern institutions and organisations and is a valuable type of organisational, cultural, and historical record. Successful management and preservation of valuable e-mail messages and collections is therefore vital if organisational accountability is to be achieved and historical or cultural memory retained for the future. This requires attention by all stakeholders across the entire life-cycle of the e-mail records. This instalment of the Digital Curation Manual reports on the several issues involved in managing and curating e-mail messages for both current and future use. Although there is no 'one-size-fits-all' solution, this instalment outlines a generic framework for e-mail curation and preservation, provides a summary of current approaches, and addresses the technical, organisational and cultural challenges to successful e-mail management and longer-term curation.
