    AN EVALUATION OF ELECTRONIC MEETING SYSTEMS TO SUPPORT STRATEGIC MANAGEMENT

    Strategic management, defined as the overall process of formulating and implementing goals, policies and plans of organizational strategy, is an important organizational task that is typically performed by groups of managers. While information technology has long been used to support strategic management, it has only recently been used to support the group processes of strategic management through the provision of Electronic Meeting Systems (EMS). An EMS can affect meetings by providing process support, process structure, task structure, and task support. Process support improves communication among group members (via an electronic communication channel), while process structure directs the pattern or content of discussion (via an agenda). Task structure refers to the use of a structured technique to analyze the task (a mathematical or conceptual model), while task support refers to the provision of information or computation support without additional structure (a data base or calculator). The objective of this paper is to evaluate the capability of EMS to support strategic management. The results of a series of seventeen case studies indicate that use of EMS technology can enhance six capabilities that prior research has linked to increased strategic management success. Process support and process structure were perceived to be more important than task structure and task support in contributing to success. An analysis of less successful meetings suggests that a lack of communication between the group leader/meeting organizer and meeting participants and extenuating external circumstances were primary causes for the lack of success

    The use of genre analysis in the design of electronic meeting systems

This research investigates the use of genre analysis in the design of electronic meeting systems. Background. The primary goal of genre analysis is to understand how virtual communities use digital communication to collaborate. This knowledge is fundamental for informing the design of information systems, particularly in areas where communication and informality are paramount. However, the research literature does not report any experiments where genre analysis has been used to inform the design of electronic meeting systems. Problems. The paper tackles the following common problems found in current electronic meeting systems: (1) reduced organizational integration, neglecting many contextual cues and explaining factors necessary to make meeting outcomes usable within the organization; (2) lack of support to specific communities of users, stressing the dependency on a facilitator to configure and manage the technology; and (3) lack of support to meeting occurrences that span long time periods. Conclusions. The paper describes how genre analysis was used to develop electronic meeting systems for several organizations and meeting genres. It covers the complete design process, from genre elicitation to validation. The obtained results demonstrate that the genre approach produces electronic meeting systems focused on organizational integration, pre-configured to communities of users, supporting long-term usage and added organizational value

    Technology-Based Family Education In ASL/English Bilingual Schools For The Deaf

    More research on how ASL/English bilingual schools for the deaf educate hearing families to apply bilingual education methodology at home is warranted. Given the rising use of technology in schools, its role within these family education programs was the primary focus. Thirty-two participants from 22 different schools completed an online, researcher-developed survey. Follow-up, online interviews were conducted with 7 participants, and artifacts were collected from 10 schools. Qualitative and quantitative descriptions express the study’s results based on technology used as an informational and influential tool, counseling and coping tool, diversity tool, and program evaluation tool. Schools are using multiple forms of technology to connect, educate, and support hearing families of deaf children. Email, websites, text messaging, and electronic versions of books / booklets / flyers / brochures are widely used. Social media, online videos, and videophones grant families and educators additional avenues for collaboration. Video messaging, DVD’s, CD’s, podcasts, and online trainings and meetings are less often applied in family programming. This study provides findings to support the continued improvement of family education programming for hearing families of deaf children. Deaf children, their families, service providers, schools for the deaf, and deaf education service provider training programs stand to benefit from the study’s descriptive information

    Developing a Text Messaging Risk Reduction Intervention for Methamphetamine-Using MSM: Research Note

    Men who have sex with men (MSM) who use methamphetamine experience high risks for HIV infection due to sexual transmission behaviors often engaged in when under the influence of methamphetamine. Methamphetamine-using MSM use various forms of information technology (IT) communication such as instant messaging, social networking sites, and websites to facilitate a sexual and/or drug “hook up.” Given the acceptability of IT communication in their daily lives, an IT intervention represents an appropriate strategy to reach and intervene with out-of-treatment, methamphetamine-using MSM. The aim of this study was to conduct formative work to develop a text messaging intervention to reduce methamphetamine use and high-risk sexual behaviors among out-of-treatment MSM, which involved conducting focus groups, community partners’ meetings, and a pre-test intervention. These activities culminated in the development of a two-week, text-messaging intervention that delivered real-time electronic correspondence based on the behavioral change theories of Social Support Theory, Health Belief Model, and Social Cognitive Theory. The focus groups, community meetings, and pre-test were used to identify the IT communication device, the text messages that best support risk reduction and healthier behavioral choices, and logo, flyer and website development. The input and feedback from the target population and community partners were critical to the successful development of a culturally appropriate intervention. The knowledge gleaned from the formative work of this study will be vitally helpful in designing future IT studies

    Group and individual time management tools: what you get is not what you need

    Some studies of diaries and scheduling systems have considered how individuals use diaries with a view to proposing requirements for computerised time management tools. Others have focused on the criteria for success of group scheduling systems. Few have paid attention to how people use a battery of tools as an ensemble. This interview study reports how users exploit paper, personal digital assistants (PDAs) and a group scheduling system for their time management. As with earlier studies, we find many shortcomings of different technologies, but studying the ensemble rather than individual tools points towards a different conclusion: rather than aiming towards producing electronic time management tools that replace existing paper-based tools, we should be aiming to understand the relative strengths and weaknesses of each technology and look towards more seamless integration between tools. In particular, the requirements for scheduling and those for more responsive, fluid time management conflict in ways that demand different kinds of support

    Requirements of time management tools for outpatient physiotherapy practice

    The effects of electronic appointment booking systems on the time management activities of health professionals have received little attention to date. We report on time management practices in three outpatient physiotherapy departments with different paper and electronic systems. The study has identified a set of time management activities and associated social behaviours common to physiotherapy departments. The convenience, flexibility and expressive nature of paper diary systems is of significant value to users, whilst the clarity and superior database functionality of electronic systems are valued by staff using this medium. The study highlights several potential barriers to the effective deployment of electronic booking systems in physiotherapy departments, including poor resource and training provision, concerns regarding restrictive diary control measures, the continued reliance on burdensome duplication procedures and the need to coordinate multiple information artefacts, which need to be addressed if such technology is to be successfully designed and deployed.     Issues concerning web-based business reporting: an analysis of the views of interested parties

    Rapid developments in information and communications technology have led organisations in many countries to consider the impact of the Internet on the delivery and dissemination of business information. This paper reports the findings of a UK study into the views of various user groups, preparers and auditors regarding specific proposals for change and newly emerging practices. Over 500 individuals from six groups responded to a questionnaire study, representing an overall response rate of 33%. Views were elicited regarding: (i) the desirability of different kinds of additional information that could be provided electronically, (ii) the usefulness of different navigation and search aids, and (iii) the portability of information under different formats.It is found that users favour many of the expansions of scope made possible by the web. A range of navigation aids, search aids and file formats are found by all groups to be at least fairly useful, especially global navigation aids. Preferences regarding file formats vary across the groups. Paired group comparisons show that, while expert and non-expert users hold similar views in relation to many issues, users' and preparers' views differ considerably. Auditors' views generally fall in between those of users and preparers. Cyert and Ijiri's (1974) framework is used to rationalise the observed conflicts and congruences of interest, underpinning clear pointers for policy-makers

    Co-ordinating distributed knowledge: An investigation into the use of an organisational memory

    This paper presents an ethnographically informed investigation into the use of an organisational memory, focusing in particular on how information was used in the performance of work. We argue that understanding how people make use of distributed knowledge is crucial to the design of an organisational memory. However, we take the perspective that an ‘organisational memory’ is not technology dependant, but is an emergent property of group interaction. In this sense, the technology does not form the organisational memory, but provides a novel means of augmenting the co-ordination of collaborative action. The study examines the generation, development and maintenance of knowledge repositories and archives. The knowledge and information captured in the organisational memory enabled the team members to establish a common understanding of the design and to gain an appreciation of the issues and concerns of the other disciplines. The study demonstrates why technology should not be thought of in isolation from its contexts of use, but also how designers can make use of the creative flexibility that people employ in their everyday activities. The findings of the study are therefore of direct relevance to both the design of knowledge archives and to the management of this information within organisations
